When you request a 1-on-1 within the Crewmojo application, you have the option to send a calendar invitation. Crewmojo will send an email to the other person having the 1-on-1 with you, as well as an email to yourself. We do this so that both parties get an entry for the 1-on-1 in their calendar.
We recommend both parties accept the 1-on-1 calendar entry.
Note: Crewmojo relies on the standard iCalendar format to communicate the 1-on-1 meeting via email (https://icalendar.org). We send this file as an attachment and your mail client should read this as a calendar invitation and treat it accordingly - by at least giving you the option to add the 1-on-1 meeting to your own calendar. We do not have direct access to your calendar so we rely on this mechanism.
We have tested this integration with two popular email clients Gmail and Microsoft Outlook.
Gmail:
The Gmail integration with the iCalendar format works seamlessly. When you receive the email including the calendar invitation the calendar entry is immediately aded and you will be given the option to accept or decline the invitation:
Click the relevant response 'Yes', 'Maybe' or 'No'.
This will automatically send a response to the other party.
Note: If you are the person initiating the 1-on-1, we recommend you also click 'Yes' as this will confirm the entry in your google calendar.
Outlook online:
The Outlook online integration with the iCalendar format requires a step to add the meeting to your calendar:
Clicking 'Add to Calendar' will add the 1-on-1 to your calendar. Locate the calendar entry and click the relevant response 'Yes', 'Maybe' or 'No'.
This will automatically send a response to the other party.
Outlook desktop:
The Outlook desktop integration with the iCalendar format should immediately add the 1-on-1 meeting to your calendar. If not, you may need to open the invitation.ics attachment.
Clicking 'Save & Close' will add the 1-on-1 to your calendar. Locate the calendar entry and click the relevant response 'Yes', 'Maybe' or 'No'.
This will automatically send a response to the other party.
Other mail clients:
Other email clients recognising the iCalendar standard should work similar to Gmail and Outlook. If you have any issues, please let us know.
Changing the 1-on-1 meeting:
If either party need to change the meeting time or location, you can do this by clicking 'schedule/reschedule' in the Crewmojo 1-on-1. This will initiate another email to both parties which they can accept or otherwise as above. This should also move the meeting in your calendars to the new date/time/location.
